AI receptionist for local service businesses

An AI receptionist that answers your phone 24/7 — and books the appointment.

MissedLeadPro picks up when your front desk can't, talks to the caller in your business's name, finds a real opening in your calendar and confirms the booking.

Never lose a job to voicemail.

No meeting link yet — email us and we'll send a time slot.

Where we are: the site and the call preview below are live today. Real phone answering — a number you forward calls to, a voice on the line, bookings written into a real calendar — is the next step and is not switched on yet. The demo shows what that call is being built to do.

MissedLeadPro is a product of Basin Response Systems, the team behind missed-call and follow-up systems for local service businesses.

The problem

Missed calls are lost jobs

Nobody answers at 7pm

A blocked drain, a furnace that won't fire, a burst pipe — the calls that matter most often arrive when the office is closed. Voicemail gets a hang-up; a competitor gets the job.

Lunch and the busy hour

One person on the desk cannot answer two calls at once. The second caller waits, hears a busy tone, and dials the next business on the list.

Staff time spent on the phone

Time on the phone is time not spent with the customer in front of you. A receptionist that never sleeps takes the routine bookings off the desk.

How it works

Four steps, every call

  1. A call comes in

Day, evening or 2am. When nobody at the front desk picks up, MissedLeadPro does — on the business's existing number once phone answering is switched on.

  2. It answers in the business's name

The greeting is the business's own: opening line, service hours, and what to do in an emergency. Callers hear your business, not a generic call centre.

  3. It qualifies the caller and checks availability

New or existing customer, what the problem is, how urgent, the service address, name and best number. Then it reads the schedule and picks out real open arrival windows.

  4. It books the slot and confirms

The job lands on the schedule, the caller gets a confirmation text, and the owner gets a call summary: what was said and what came of it.

What every call gets

Everything the front desk would do, written down

This is the behaviour the product is being built to deliver. It is designed, not shipped: the voice engine that answers real calls is in development, and the demo below is a browser preview of it.

  • Answers 24/7

Nights, weekends, lunch, and the minutes when the front desk is with a customer.

  • Greets in your business name

Your greeting, your hours, your after-hours instructions.

  • Qualifies the caller

New or returning, the reason for the call, how urgent it is, name and number.

  • Books and reschedules

Reads availability and writes the appointment into the calendar.

  • Sends a confirmation text

The caller gets the date, time and location without anyone typing it.

  • Logs a call summary

Duration, intent, what was done and the outcome, after every call.

  • Escalates to a human

On-call rotas, emergencies and anything outside its remit get handed over.

Live demo

Watch an AI receptionist take a call

Four scripted scenarios, played out turn by turn. Pick a caller and the call runs in your browser — the greeting, the questions, the schedule check, the booking and the summary the owner gets at the end.

Interactive preview of a live call. This is a scripted browser demo — it is not connected to a phone number, nothing is really booked, and no call is placed or received. Example business — an invented heating and plumbing company used for this preview, not a customer.

1. Pick the caller

2. Watch the call

Pick one of the four callers above. The call plays out here turn by turn, then the booking, the confirmation text and the call summary appear.

Try a different caller to see another scenario, or reset to start again.

JavaScript is off, so the interactive version of the preview can't run. The four example calls are printed below in full instead.

New service call: No heat — the furnace won't fire. Wants the first opening.
  1. AI receptionist

Thanks for calling Ironwood Heating & Plumbing — this is Ava, the AI receptionist. How can I help you today?

  2. Caller

Hi — our furnace stopped firing last night and the house is down to about 58 degrees. Can someone come out?

  3. AI receptionist

Sorry to hear that, let's get a tech out to you. Have we been out to this address before?

  4. Caller

No, first time. My neighbour gave me your number.

  5. AI receptionist

No problem, I'll set you up as a new customer. Can I take your full name, the service address, and a phone number?

  6. Caller

    Dana Whitfield, 1428 Aspen Street, 612 555 0148.

  7. AI receptionist

Thank you, Dana. What's the furnace doing — is there a fault code on the board, or is it completely dead?

  8. Caller

Completely dead. The thermostat calls for heat and nothing happens.

  9. AI receptionist

Got it. I have a diagnostic visit tomorrow at 8:00 in the morning, or tomorrow between 1:00 and 3:00 in the afternoon. Which suits you better?

  10. Caller

    The morning one, please.

  11. AI receptionist

You're booked, Dana — tomorrow at 8:00 with tech Caleb Rhodes. The call-out is $89 and it comes off the repair if you go ahead. Is 612 555 0148 the best number for the confirmation text?

  12. Caller

    Yes, that's fine.

  13. AI receptionist

You're all set. I've sent the details by text — the tech will ring you about twenty minutes before he arrives. Anything else before you go?

  14. Caller

    No, that's everything. Thanks.

After-hours emergency: 9:40pm, water heater leaking badly. Needs a human, tonight.
  1. AI receptionist

You've reached Ironwood Heating & Plumbing outside service hours. I'm Ava, the after-hours AI receptionist. If you smell gas anywhere in the building, get everyone outside and call 911 from outside — do not switch anything on or off on your way out.

  2. Caller

My water heater's leaking — there's water spreading across the basement floor and I don't know what to do.

  3. AI receptionist

Thanks for telling me. Is the water coming from the tank itself, or from the pipes and fittings around it?

  4. Caller

It's the tank — there's a steady stream down the side of it.

  5. AI receptionist

If you can reach the shut-off valve on the cold pipe above the heater safely, close it and that will stop the flow. Keep clear of any water that has reached an outlet, a cord or the electrical panel. I'm flagging this as urgent for the on-call plumber — what's your name and best number?

  6. Caller

    Priya Raman, 612 555 0111.

  7. AI receptionist

Thank you, Priya. I'm sending the on-call plumber your details now — they'll call you back within about thirty minutes. I'm also holding the first window tomorrow morning, 7:00 to 9:00, in case you'd rather have it on the books.

  8. Caller

Yes, please book that too, just in case.

  9. AI receptionist

That's booked for tomorrow, 7:00 to 9:00 in the morning, with tech Caleb Rhodes. If the on-call plumber reaches you sooner, we'll move it and let you know. A text with both is on its way.

  10. Caller

    Thank you — that's a relief.

  11. AI receptionist

You're welcome, Priya. If the water reaches any electrical outlet or the panel, stay well clear and call 911. Goodnight.

FAQ

Questions we get asked

Will callers notice it isn't a person?

Some will, and that's the honest answer. The goal isn't to trick anyone: the greeting says up front that it's an AI receptionist, the voice is natural and polite, and it says so again if a caller asks. Most people calling about a dead furnace or a leaking water heater care about getting a time slot, not about who wrote it down.

What if the caller asks for a human?

It hands over. You choose what happens next — a warm transfer during office hours, a message taken and sent to the front desk, or an on-call number paged for after-hours emergencies.

Can it book into the calendar we already use?

That's the plan, and it's the piece with the most variation between businesses. Google Calendar and Outlook are the starting point; the field-service software trades shops already run gets wired up per customer, and if yours can't be reached, we'll tell you up front rather than promise it.

What happens to our existing phone number?

You keep it. We forward it to MissedLeadPro, or to us as a fallback when the front desk doesn't answer within a set number of rings. Either way, no number change and no new number for callers to learn.

How long does setup take?

Expect an onboarding session of about an hour with us: your service hours, the trades you cover, the prices you're happy to have quoted, the questions you always ask, and access to your schedule. After that, a few days of tuning on test calls before it answers a call on your real number.

What if it gets something wrong?

It writes down what happened, so a wrong or uncertain call is visible in the summary rather than invisible. You can flag a call, we tune the script, and anything it isn't confident about gets escalated instead of guessed — no invented prices, no guessed slots.

Is there a contract, and how do I cancel?

We're aiming for month-to-month with no lock-in, so you can cancel before your next billing date. Nothing here is contracted yet — these are proposed terms for launch, and we'll put the final ones in writing before you pay anything.

Want this answering your phone?
